1. Introduction

NestEazy Inc. (“NestEazy,” “we,” “us,” or “our”) operates a rental marketplace that connects tenants, landlords, and people seeking roommates through our mobile applications, website, and related services (collectively, the “Platform”).

Your privacy matters to us. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and the privacy laws that apply in New Brunswick. We only ask for what we need to keep the community safe and help you rent with confidence. This policy explains, in plain language, what we collect and the choices you have.

2. Information We Collect

2.1 Information You Provide

Account and Profile Data: To get started, we only ask for the basics that confirm you are a real person. That means your name, email, phone number, and date of birth, plus a profile photo. This is how we keep the community safe and scam-free. Anything more, like a short bio or what you want in a place, is up to you and just helps you find a better match.

Property Listings: If you list a property, we collect information about the property including its address, description, photos, rental terms, amenities, and availability.

Rental Applications: Applying is always your choice. When you send a rental application, we pass the information you include on to the landlord. That can cover your contact and address history, your employment and income, and any documents you choose to add.

Documents: If you want to, you can upload documents like proof of income, employment verification, or references. We keep them secure, and they are never shared unless you say so.

Communications: We keep the messages you send through NestEazy, including your chats with other users and our support team. That keeps your conversations in one place and lets us help if something goes wrong.

Payment Information: When you make a payment through the Platform, your financial information is processed by our third-party payment processor. We do not store your full credit card or bank account details.

2.2 Information Collected Automatically

Usage Data: As you use NestEazy, we notice things like the listings you view and the searches you run. We use this to show you places that fit what you are looking for and to make the app better over time.

Device and Technical Data: We automatically collect certain technical information when you use the Platform, including your device type, operating system, IP address, and general location information.

Matching: Based on what you look at and search for, our matching system gets a sense of what you want in a place. That way your recommendations feel relevant instead of random. It is there to save you time, not to profile you.

2.3 Information from Third Parties

Identity Verification: If you complete identity verification, our verification provider processes your identification and returns a verification result to us. We do not store copies of your document on our servers.

Tenant Screening: If you consent to a tenant screening, our screening provider processes a credit, background, and reference check. We receive the screening report and recommendation. NestEazy does not collect, transmit, or store your Social Insurance Number (SIN) at any point during this process.

2.4 Rental Assistant

Our rental assistant (“Nesty”) answers general questions about renting in New Brunswick. Please do not enter sensitive personal information into it. Its answers are general suggestions and information, not legal advice, and we are not liable for any decision made or action taken based on them. See our Terms of Service for the full disclaimer.

3. How We Use Your Information

We use the information we collect to:

• Create and manage your account and provide the Platform to you
• Show you rentals and roommates that fit what you are looking for
• Facilitate communication between users of the Platform
• Help with rental applications and, when you choose it, tenant screening with your consent
• Process payments for paid features
• Send notifications about activity relevant to your account
• Keep the community safe by spotting and stopping fraud, scams, and abuse
• Learn from how NestEazy is used so we can keep improving it
• Comply with legal obligations and enforce our Terms of Service

4. How We Share Your Information

We do not sell your personal information. We only share what is needed to provide NestEazy to you, as described below.

4.1 With Other Users

Certain information is shared with other users as part of the Platform. When you express interest in a listing, the landlord can view your public profile and opening message. If you submit a rental application, the landlord can view its contents. Roommate group members can view each other’s public profiles. Your public profile does not include your email address, phone number, or exact date of birth.

4.2 With Service Providers

We work with third-party service providers who help us operate and improve the Platform. They include providers of data hosting, analytics, payment processing, identity verification, tenant screening, messaging infrastructure, push notification delivery, and customer support. These providers are contractually obligated to process your data only for the purposes we specify and in accordance with applicable privacy laws.

4.3 For Legal Reasons

We may disclose your information if required by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of NestEazy, its users, or the public.

4.4 Business Transfers

If NestEazy is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such transfer and any choices you may have regarding your information.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the Platform and fulfill the purposes described in this Privacy Policy. When you delete your account, we remove your personal data from our active systems. Certain data may be retained in anonymized or archived form as required by law or for legitimate purposes such as fraud prevention, dispute resolution, and legal compliance.

Screening reports are retained only as long as needed for the rental decision and applicable legal requirements.

6. Data Security

We implement appropriate technical and organizational measures to protect your personal information, including encryption of data in transit and at rest, access controls, and regular security assessments. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

7. Keeping Messages Safe

To protect people from spam, scams, harassment, and offensive content, NestEazy may review and keep messages sent through the Platform. Our systems may automatically flag messages that appear to be spam, scams, or abuse. NestEazy reserves the right to review flagged communications and to block delivery of messages that violate our policies. Copies of messages and communications may be retained in accordance with our data retention practices.

8. Cookies and Tracking Technologies

We use cookies and similar technologies on the Platform. Essential cookies are necessary for the site to function and to remember your preferences, including your cookie choices. We also use privacy-friendly analytics that measure overall usage in an aggregated, anonymous way that does not identify you.

With your consent, we use optional analytics cookies that help us understand how visitors find and use NestEazy, such as the source of a visit and whether a visitor is returning. When you first arrive, you can choose “Accept all” to allow these optional cookies, or “Essentials only” to keep just those required for the site to work. We remember your choice, and you can change it at any time using the “Cookie preferences” link in our footer, or by clearing the cookies in your browser. Declining optional cookies does not affect your access to the Platform.

9. Disclosure of Personal Information

In addition to the sharing described in Section 4, we may disclose your personal information: (a) as permitted or required by applicable law, regulation, or legal process; (b) to respond to lawful requests from law enforcement or governmental authorities; (c) to protect the rights, property, or safety of NestEazy, our users, or the public; (d) to enforce our Terms of Service; (e) to investigate potential violations of our Terms or suspected illegal activity; (f) in connection with an actual or potential merger, acquisition, reorganization, or sale of assets; (g) with your consent or at your direction; or (h) where the information is publicly available.

10. Your Rights

Under PIPEDA, you have the right to access, correct, and request deletion of your personal information. You may withdraw your consent to the collection, use, or disclosure of your personal information at any time, subject to legal or contractual restrictions. Withdrawal of consent may affect your ability to use certain features of the Platform. You can initiate account deletion directly through the Platform settings.

11. Sensitive Information

NestEazy does not collect or store Social Insurance Numbers (SIN). Our identity verification and tenant screening processes are designed to operate without requiring your SIN. If a third-party provider requires additional information to process a request, that information is handled directly by the provider and is not transmitted to or stored by NestEazy.

12. Location Information

Property listings include address information provided by landlords. We may use your approximate location, derived from your IP address, to show you relevant listings. We do not continuously track your precise location unless you explicitly grant permission for location-based features.

13. Public Information

Any content you post publicly on the Platform, such as your public profile, listing details, and comments, is visible to other users and may be indexed by search engines. NestEazy does not maintain the privacy of information that you have made publicly available. You are solely responsible for the content you choose to share publicly.

14. Phishing and Fraud Prevention

NestEazy will never ask you for your password, Social Insurance Number (SIN), or full financial details via email, text message, or phone call. If you receive a communication that appears to be from NestEazy requesting such information, do not respond and report it to us immediately at admin@nesteazy.ca. Be cautious of any communication asking you to send money, wire transfers, or deposits to individuals outside of the Platform.

15. Children’s Privacy

The Platform is not intended for anyone under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected such information, we will take steps to delete it promptly.

16. International Data Transfers

Your personal information is primarily stored and processed in Canada. Some of our service providers may process data in other jurisdictions. Where your data is transferred outside of Canada, we ensure that appropriate safeguards are in place in accordance with PIPEDA requirements.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you through the Platform or by other means. Your continued use of the Platform after the effective date of any changes constitutes your acceptance of the revised Privacy Policy.
